Create orders from emails & PDFs

Forward any email or PDF to Upstock and we’ll automatically create an order with the details filled in. If you manually enter purchase orders this feature will save you a lot of time!

Getting started

Every supplier has a unique email address to forward orders to. To find yours go to Orders › Emailed. Copy the address and forward any purchase order you receive to it.

Suggestions

Once an email has been forwarded to Upstock, open it and choose a customer. Suggestions for the order details will be highlighted for you to review. Suggestions are made using AI — it’s important to check these carefully.

Matching products

If an an exact match isn't found for a product, the line item will appear incomplete. Click the line item to replace it with the correct product from your catalogue.

If the customer used a SKU in the purchase order, we'll match this to the correct product next time.

Prices

Unlike products and quantities, prices are not suggested from the purchase order, as these can often be out-of-date. When an order is create, prices are set using the price list in Upstock for this customer.

If the prices on the order don't match the emailed purchase order, a warning will be shown. You can adjust the price to match the purchase order, update the customer's price list, or leave the price as is. The action you take depends on which source of prices is correct.

Setting up a forwarding rule or contact

You can add a forwarding rule to automatically send all emails to Upstock. The setup is slightly different for each email app. Here are help articles for the common ones:

If you’d prefer to pick and choose which emails to forward, we recommend saving your Upstock email address as a contact in your email app to speed up the process.

We don't recommend giving your Upstock email address to customers. It's best for them to email you as normal and for you to forward them into Upstock.

Timeline attachments

Once an order has been created, the original email and attachments are included in the order timeline. This is great if you need to refer back to the original email.

Deleting emails

You can delete any email that has been forwarded to Upstock in Orders › Emailed. This won’t affect orders created from the email.
